What we collect
When you request a quote. Your email address, and your name if you give it. Along with it we record what you were quoting: the equipment, quantity, delivery and return dates, delivery window, and service area. We also record which ad, link, or campaign brought you to the site.
When you book. Your name, email address, phone number, delivery address, return address, and billing address, plus any access notes you add for our delivery crew. We record the equipment, dates, and price of the booking.
When you pay. Stripe processes the payment. Your full card number never reaches our systems. We keep a Stripe customer reference, the last four digits, card brand, and expiry so you can recognize the card on file, along with the amounts and dates of each payment.
When you create an account. Clerk handles sign-in for us. Depending on how you sign in, that means an email address and password, or the name, email address, and profile picture your Google or LinkedIn account shares with us.
When you use the site. Standard server and security logs, including IP address, browser type, and pages requested.
If you are a partner. Business contact details and the bookings you create for your clients.
Why we collect it
- To prepare quotes and hold inventory for you
- To take payment, issue receipts and invoices, and apply refunds
- To deliver, set up, and collect equipment, which is why our crew needs your address and access notes
- To send you transactional email about your booking: confirmations, receipts, payment reminders, delivery briefings, and changes
- To operate your account and let you see your bookings
- To keep records required by tax and accounting law
- To send marketing email, only if you have consented, and every one of those emails carries an unsubscribe link
Under Law 25 we need your consent for uses beyond what is necessary to provide the service you asked for. You can withdraw that consent at any time.
Who we share it with
We do not sell your personal information. We share it with the service providers that make the business run:
| Provider | What it handles | Where |
|---|---|---|
| Stripe | Payment processing and card storage | United States, Canada |
| Clerk | Account sign-in and authentication | United States |
| Resend and Amazon SES | Sending our email | United States |
| Vercel | Website hosting and cookieless traffic analytics | United States |
| Business email | United States |
These providers are bound by contract to use the information only to provide their service to us. Because several of them operate outside Québec, your information may be stored or processed outside the province, where it can be subject to foreign law including lawful access requests. We assess this before engaging a provider, as Law 25 requires.
We may also disclose information where the law requires it, or where it is necessary to establish or defend a legal claim, including recovering equipment or unpaid amounts.
How long we keep it
Booking, payment, and tax records are kept for seven years after the end of the calendar year they relate to, which is what Canadian tax law requires. Quote requests that never become bookings are deleted after 24 months. Account records are kept while your account is open and for 24 months after you close it. Server logs are kept for 90 days.
How we protect it
The site runs over HTTPS. Passwords are handled by Clerk and never stored by us. Card numbers are handled by Stripe and never stored by us. Access to customer records is limited to the people who need it to do their job.
No system is perfectly secure. If a breach creates a risk of serious harm to you, we will notify you and the Commission d'accès à l'information, as Law 25 requires.
Your rights
You can ask us to:
- Give you a copy of the personal information we hold about you
- Correct anything that is inaccurate or incomplete
- Delete information we no longer have a reason to keep
- Stop sending you marketing email
- Give you your information in a structured, commonly used technical format, or send it to someone else
Write to privacy@screenhaus.ca. We will respond within 30 days. If you are not satisfied with our answer, you can complain to the Commission d'accès à l'information du Québec at cai.gouv.qc.ca, or to the Office of the Privacy Commissioner of Canada at priv.gc.ca.
Cookies and similar technology
We use only the cookies the site needs to work: keeping you signed in and keeping your quote in progress. We do not use advertising or tracking cookies, and we do not run third-party advertising tags on the site.
We measure site traffic with Vercel Analytics, which is cookieless. It does not set a cookie, does not use a device fingerprint, and does not follow you to other sites.
When you arrive from an ad or a link, the campaign it came from is recorded with your quote request so we know which channels bring us business. That is stored with your own record, not tracked across other websites.
You can block or delete cookies through your browser settings. Blocking essential cookies will stop sign-in and the quote flow from working.
We do not use your personal information to make automated decisions that produce legal effects for you.
Children
The site is not directed at children and we do not knowingly collect personal information from anyone under 14.
Changes
We will post any change to this policy on this page and update the date at the top. If the change is significant, we will tell you by email before it takes effect.
